What to expect

The following outlines our preferred sales process. We believe evaluations are best when they're structured, transparent, and time-bound. They aren't based on feel, or unlimited in time, and demos aren't rinse and repeat for every customer.

Day 0

Reach out

Email us at sales@xata.io or DM us on X @xata. Tell us why you're exploring a managed Postgres solution — as much or as little as you want to share. We'll eventually need some technical background, but that doesn't have to come in your first email.

Alternatively, you can book time with our sales team to discuss your use case, ask questions, and learn if Xata is right for you. This can help skip the first back-and-forth and get to technical discovery faster.

Day 5

Technical discovery

A solutions engineer (or sometimes our CTO) joins to understand your workload, constraints, and goals. We develop measurable success criteria together on this call. We gather the information we need to build out a POC/onboarding plan designed for you — which will be delivered within hours of our call thanks to the help of our POC agent. Our recommendation is to choose a single database to connect first, one that will confirm capabilities and demonstrate value (or simply one that is causing the most trouble today).

  • Review your architecture: replication topology, compliance, networking, CI/CD
  • Review current provider (RDS, Aurora, Cloud SQL, self-hosted) and monthly spend, identify risks/challenges
  • Define 4-5 measurable success metrics (capacity, cost, governance, speed)
  • Confirm BYOC deployment is the right choice, and where it needs to be (AWS/GCP/Azure, region)

How we demo

We have a sales deck. We have a curated demo. Spoiler alert: neither are all that exciting. It's Postgres — it needs to be reliable, fast, and scalable. What we'd rather do is get you up and running on some data. Get you using the CLI to experience the speed and simplicity of branching a 1TB Postgres database. For our "demo" we prefer setting you up quickly to explore with some of your own data. If that's not possible, we have some dummy datasets we can use instead.

  • Connect to your Postgres via read-only replication (pgstream)
  • Create a copy-on-write branch in seconds — on your data, not a demo dataset
  • Run your queries against the branch
  • Show scale-to-zero in action — branch suspends, resumes on next query
Day 7

Pricing proposal

Based on your database size, expected branch volume, and deployment model, we generate a pricing estimate. No opaque enterprise pricing — we show you the math. Our pricing model is a management fee as a percentage of your Xata-managed cloud spend, subject to a capacity tier minimum. The capacity tier is a necessary component when branch compute and storage costs are so inexpensive. It allows us to anchor on compute and storage costs for low branch volume customers (<1,000), and still deliver reasonable pricing for high branch volumes (10M+), all with a single pricing model so you aren't renegotiating deals with us as you grow. If you need things like a BAA or HIPAA compliant anonymization, we deliver with a simple adjustment to the minimum monthly spend.

Day 14

Proof of concept — BYOC only

Our BYOC POCs are time-bound evaluations with defined success criteria built directly into your contract. The first 60 days of every BYOC deployment are the POC phase — we waive your capacity tier minimum so you only pay for actual consumption during this ramp up period. If we do not meet the agreed metrics, you walk away via the opt-out clause. You will see that our annual agreements are all +2 months to account for this period (2 year agreement = 26 months). If you finish your POC early, that's great — you still have no minimum for the first two months.

  • Typical duration: 2-6 weeks depending on complexity
  • Capacity tier minimum waived for the first 60 days — pay only for what you use
  • Dedicated solutions engineer, shared Slack channel
  • Weekly check-ins with documented progress against success metrics
  • Opt-out clause if success criteria are not met or you're not completely satisfied with Xata. We're not in the business of contractual lock-in.
Day 45

Onboarding and support

On success, you are already under contract and our solutions team is engaged for expansion — migrating additional databases, onboarding your team, optimizing your branching workflows. Your databases are vanilla Postgres, which means if you ever get the itch to migrate them somewhere else (we won't hold a grudge), it's a simple migration. Our goal is to make you so happy with Xata that you talk about it at dinner parties.

How pricing works

Xata charges a management fee as a percentage of your Xata-managed cloud infrastructure spend. You pay your cloud provider directly for compute and storage — this counts against your existing cloud commitments (EA/EDP). The management fee covers the platform: CoW branching engine, scale-to-zero orchestration, operations, monitoring, PII anonymization, and incident response. No per-branch, per-developer, or per-database fees. We believe this is the best way to align our pricing to customer value.

The monthly fee is the greater of the markup-based management fee or the capacity tier minimum. CoW branching and scale-to-zero typically reduce your managed cloud spend by 60-90% before the markup is applied — so the total cost (cloud + Xata fee) is significantly less than full replicas or per-branch alternatives.
